How We Operate

Operational Standards & Venue Safety

Power Vendworks is committed to operating responsibly within every venue we partner with. This page sets out the standards and considerations that guide how we approach food safety, electrical safety, maintenance, insurance and venue suitability.

The information below reflects our intended approach as we establish and grow our venue partnerships. Where specific registrations, certifications or documentation are required, these will be addressed as part of the individual venue assessment and partnership process.

Food Standards

Food Safety and Hygiene

Where Power Vendworks machines dispense food or drink products, we recognise the importance of operating in compliance with applicable food safety legislation. This includes understanding food-business registration requirements, implementing appropriate food hygiene procedures, and ensuring machines are cleaned and replenished to a suitable standard.

  • Food-business registration will be obtained where required by law before food-dispensing machines are placed in operation.
  • Cleaning and replenishment schedules will be established and followed for each machine type.
  • Allergen information relevant to the products dispensed will be made available to venue partners and, where required, to customers.
  • We will work with venue partners to ensure that food safety responsibilities are clearly understood and agreed as part of the partnership arrangement.

Specific registrations, inspection records and allergen documentation will be confirmed during the venue assessment process. We do not publish unverified approvals or internal documentation.

Electrical Safety

Machine and Electrical Safety

The safe installation and operation of vending machines depends on appropriate electrical connections, compliance with manufacturer requirements and a clear understanding of the installation environment. Before any machine is placed in a venue, the electrical and physical requirements will be assessed.

  • Each machine requires a suitable electrical supply, typically a standard 13A single-phase socket. Specific requirements will be confirmed during the venue assessment.
  • Machines will be installed in accordance with manufacturer guidelines and any applicable electrical safety requirements.
  • Equipment documentation, including any available manufacturer safety information, will be maintained and can be shared with venue partners where relevant.
  • Installation arrangements, including responsibility for electrical connections, will be agreed with the venue before placement.

Electrical certification, PAT testing records and installation sign-off documentation will be addressed as part of the venue assessment and partnership process. We do not publish unverified certificates or approval numbers.

Ongoing Support

Maintenance and Support

Keeping machines in good working order is essential to the success of any venue partnership. Responsibilities for operational support, replenishment, cleaning and maintenance will be clearly agreed between Power Vendworks and each venue partner.

  • Operational responsibilities — including who manages replenishment, cleaning and routine maintenance — will be set out in the venue partnership agreement.
  • Response arrangements for machine faults or operational issues will be agreed with each venue partner.
  • Replenishment schedules will be tailored to the expected demand at each venue.
  • We aim to minimise disruption to venue operations through proactive maintenance and clear communication.

Specific maintenance programmes and service level commitments will be agreed on a venue-by-venue basis and documented in the partnership arrangement.

Due Diligence

Insurance and Documentation

Prospective venue partners may require evidence of relevant insurance cover and site-specific safety documentation as part of their own due diligence process. Power Vendworks will work to provide appropriate documentation where it is available and applicable.

  • Relevant insurance information can be provided to prospective venue partners during the due diligence process, where available.
  • Site-specific safety documents, such as risk assessments relevant to a particular installation, can be discussed and prepared as part of the venue assessment.
  • We will work transparently with venue partners to meet any reasonable documentation requirements.

We do not publish insurance policy details, cover amounts or internal risk assessments publicly. Documentation will be shared directly with venue partners through the appropriate process. Specific cover levels and policy details will be confirmed at the time of enquiry.

Site Suitability

Venue Assessment

Not every space is suitable for every machine. Before any placement is agreed, Power Vendworks will carry out an assessment of the proposed installation to ensure it is appropriate for the machine type, the venue environment and the expected visitor profile.

  • Available floor space and access arrangements will be assessed against the requirements of the proposed machine.
  • Electrical supply availability and suitability will be confirmed.
  • Visitor footfall, demographics and demand potential will be considered to help identify the most suitable machine or machines for the venue.
  • Operational considerations — including replenishment access, cleaning requirements and any venue-specific constraints — will be reviewed.
  • The outcome of the assessment will inform the terms of the venue partnership arrangement.

Venue assessments are carried out on a case-by-case basis. Suitability cannot be confirmed without an assessment, and placement is subject to agreement between Power Vendworks and the venue.
